How The Veterans Phalanx collects, uses, protects, and shares information through veteransphalanx.org.

The Veterans Phalanx Organization, Inc., doing business as The Veterans Phalanx ("The Veterans Phalanx," "we," "us," or "our"), respects the privacy of the people who visit our website, support our mission, volunteer, donate, contact us, or seek information and resources.

This Privacy Policy explains how we collect, use, disclose, and protect personal information through veteransphalanx.org and the webpages, forms, and online features we control (collectively, the "Site"). It does not govern websites, applications, or services operated by other organizations, even when we link to them.

1. Information We Collect

The information we collect depends on how you use the Site.

Information You Provide to Us

We may collect information that you voluntarily provide, including:

  • Your name, email address, and telephone number;
  • The reason you are contacting us;
  • Messages, questions, resource suggestions, correction requests, partnership inquiries, volunteer interests, sponsorship inquiries, and other information you submit;
  • Information you provide when asking for veteran or family support, requesting a connection to a resource, registering for or asking about an event, or participating in a program;
  • Communication preferences, including a request to receive or stop receiving updates; and
  • Any other information you choose to provide by email, telephone, mail, social media, or another communication channel.

Donation Information

Donations made through the Site are processed by third-party payment providers, including PayPal and, when available, Venmo. We may receive transaction-related information such as your name, email address, mailing address, donation amount, donation date, transaction identifier, donation designation, recurring-donation status, and other information the payment provider makes available to us.

We do not directly collect or store your full payment card number or bank-account credentials through the Site. Payment providers collect and process that information under their own terms and privacy policies.

Information Collected Automatically

When you use the Site, we and our service providers may automatically collect limited technical and usage information, including:

  • Internet Protocol (IP) address and general location derived from it;
  • Browser type, device type, operating system, language, and screen information;
  • Pages viewed, links or buttons used, referring and exit pages, and the date and time of visits;
  • Cookie identifiers, session information, and similar technical data; and
  • Information used to detect bots, prevent abuse, maintain security, diagnose problems, and understand Site performance.

Information From Third Parties

We may receive information from payment processors, website and analytics providers, event or program partners, social media platforms, and other services when you interact with us through those services or ask them to share information with us.

2. A Note About Sensitive Information

The Site's general contact forms are not intended for Social Security numbers, Department of Defense identification numbers, VA claim or file numbers, full dates of birth, financial-account credentials, passwords, medical records, or other highly sensitive information. Please do not place that information in a general website message.

The Veterans Phalanx is not a healthcare provider, health plan, crisis provider, legal service, or official VA claims representative, and the Site is not designed as a secure medical-record or legal-case portal. If we need sensitive information to address a specific request, we will make reasonable efforts to identify a more appropriate way to handle it.

3. How We Use Information

We may use personal information to:

  • Respond to questions, requests, suggestions, and messages;
  • Help connect veterans, families, caregivers, supporters, and community members with programs, partners, and trusted resources;
  • Review and follow up on resource suggestions or corrections;
  • Coordinate volunteers, events, programs, community projects, partnerships, sponsorships, and in-kind support;
  • Process, acknowledge, document, and provide receipts for donations;
  • Send mission-related communications when requested or otherwise permitted by law;
  • Operate, maintain, secure, troubleshoot, and improve the Site;
  • Measure Site traffic, use, and performance;
  • Detect spam, fraud, misuse, security incidents, or other harmful activity;
  • Maintain appropriate nonprofit, financial, tax, governance, and operational records;
  • Comply with applicable law, legal process, and reporting obligations; and
  • Protect the rights, safety, dignity, and property of The Veterans Phalanx, the people we serve, our volunteers, our partners, and the public.

4. Cookies and Analytics

The Site uses cookies and similar technologies for security, basic operation, traffic measurement, and performance analysis.

We use Google Analytics to understand how visitors use the Site. Google Analytics may collect information about your browser or device, Site activity, cookie or similar identifiers, and IP-address information during collection. This information helps us understand matters such as which pages are visited, how visitors reach the Site, and whether the Site is working as intended.

Our hosting, security, and content-delivery providers may also use cookies or similar technologies to deliver the Site, maintain sessions, balance traffic, prevent malicious activity, and verify that visitors are human.

You can control or delete cookies through your browser settings. Blocking some cookies may affect Site performance or functionality. You may also use the Google Analytics Opt-out Browser Add-on where supported.

When the Site displays cookie preferences, you may accept or decline nonessential analytics and change your choice later through the Cookie Preferences link in the Site footer.

The Veterans Phalanx does not use information collected through the Site to serve targeted advertisements.

5. How We Disclose Information

We may disclose personal information only as reasonably necessary in the following circumstances:

Within The Veterans Phalanx

Information may be available to authorized board members, officers, staff members, contractors, or volunteers who need it to respond to a request, administer a program, coordinate an event, process a donation, protect the organization, or perform another legitimate function.

Service Providers

We may provide information to vendors that help us operate, secure, and support the Site and our work. These may include website hosting and content-delivery providers, security and anti-abuse services, analytics providers, email and communications services, cloud and database providers, payment processors, professional advisers, and other operational vendors. These providers may use information as permitted by their contracts and their own legal obligations.

Connections You Request

If you ask us to connect you with a partner, resource provider, volunteer opportunity, sponsor, or other organization, we may share information you authorize or information reasonably necessary to carry out that request. When practical, we will seek your direction before sharing the details of a personal support request with an outside organization.

Legal, Safety, and Protective Purposes

We may disclose information when we reasonably believe disclosure is necessary to comply with law, a subpoena, court order, or other legal process; respond to a lawful government request; investigate fraud or misuse; enforce our rights; or protect the safety, rights, dignity, or property of any person or organization.

Organizational Changes

If The Veterans Phalanx participates in a merger, restructuring, transfer of assets, or similar organizational transaction, information may be transferred as part of that transaction, subject to applicable law and appropriate protections.

We do not sell or rent personal information. We do not use information submitted through our contact, volunteer, support, or donation interactions for cross-context behavioral advertising.

6. Donations, Store Purchases, and Other Third-Party Services

PayPal and Venmo

When you donate using PayPal or Venmo, your transaction is processed by that provider. Its collection and use of information are governed by its own privacy notice. You should review the PayPal Privacy Statement and, when applicable, the Venmo Privacy Statement.

The Veterans Phalanx Store

The Veterans Phalanx Store is hosted by Printify on an external website. If you visit the store or make a purchase, Printify and its payment, manufacturing, shipping, and other providers may collect and process information under their own policies. Store activity is governed by the Printify Privacy Policy and any other notices shown during checkout.

Other External Links

The Site links to government agencies, veteran-service organizations, crisis resources, community partners, social media platforms, event pages, and other third-party websites. We provide these links for convenience and information. We do not control and are not responsible for the privacy, security, accuracy, or practices of those third parties. Review the privacy notice of any external service before submitting personal information.

7. Data Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, tax, accounting, governance, security, dispute-resolution, and legal needs.

Retention periods vary depending on the type of information. For example, we may keep donation and financial records longer than a general inquiry because nonprofit, tax, and accounting rules may require it. When information is no longer reasonably needed, we may delete it, deidentify it, or securely dispose of it, subject to technical limitations and legal obligations.

8. Data Security

We use reasonable administrative, technical, and organizational safeguards intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. Access is limited according to role and legitimate need where practical.

No website, email system, transmission method, or storage system can be guaranteed to be completely secure. Please use care when deciding what information to send through the Site or by email.

9. Children's Privacy

The Site is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. A child under 13 should not submit personal information through the Site without involvement from a parent or legal guardian.

If you believe a child under 13 has provided personal information to us, contact us at info@veteransphalanx.org so we can review and, when appropriate, delete it.

10. Your Choices and Privacy Requests

Depending on where you live and subject to applicable exceptions, you may have the right to ask us to:

  • Confirm whether we hold personal information about you;
  • Provide access to or a copy of certain personal information;
  • Correct inaccurate personal information;
  • Delete certain personal information; or
  • Restrict or object to certain uses of personal information.

You may also ask us to stop sending nonessential emails. Messages that are necessary to complete a donation, respond to a request, administer a program, or address a legal or security matter may still be sent when appropriate.

To make a request, email info@veteransphalanx.org with the subject line Privacy Request. We may need to verify your identity and the scope of your request before responding. We may deny or limit a request when permitted or required by law, including when records must be retained for nonprofit, tax, accounting, legal, safety, or fraud-prevention purposes.

We will not discriminate against you for making a good-faith privacy request.

11. Visitors From Outside the United States

The Veterans Phalanx is based in the United States. If you access the Site from another country, information may be transferred to, stored in, and processed in the United States or in other countries where our service providers operate. Privacy laws in those locations may differ from the laws where you live.

12. Changes to This Privacy Policy

We may update this Privacy Policy as our Site, programs, vendors, or legal obligations change. We will post the updated version on this page and revise the "Last Updated" date. Material changes may also be communicated through the Site or another reasonable method when appropriate.
